Free Admissions Funnel Calculator for Enquiry to Enrolment

An admissions funnel calculator turns your enquiry count and stage by stage conversion rates into enrolments, revenue and cost per enrolment. This one covers enquiry, counselling, campus visit or demo class, application and enrolment. At default inputs, 2,000 enquiries become 118.1 enrolments worth ₹70,87,500, and counselling to visit is the biggest lever.

What is an admissions funnel?

An admissions funnel is the sequence of stages a prospective student passes through, from first enquiry to paid enrolment. This admissions funnel calculator models five stages: enquiry, counselling, campus visit or demo class, application and enrolment. Each stage has a conversion rate, and multiplying them gives your overall admission conversion rate.

Every institution that sells a seat has some version of this funnel. A school has enquiry, campus tour, registration and admission. A coaching institute has enquiry, counselling, demo class and batch joining. A college has enquiry, counselling, application and fee payment. A study abroad consultancy has enquiry, profile evaluation, shortlisting, application and visa. The stage names change. The arithmetic does not.

The calculator asks for seven inputs: enquiries per month, enquiry to counselling, counselling to campus visit or demo class, visit or demo to application, application to enrolment, fee per student and marketing spend. It returns the number of students at every stage, enrolments, revenue, overall conversion, cost per enrolment and a lever analysis. The lever analysis adds 5 percentage points to one stage at a time and shows which change adds the most enrolments.

A few terms, defined once. Counselling means a structured conversation, by phone, video or in person, where an admissions counsellor understands the student's need and explains the programme. Counselling conversion is the share of counselled students who move to the next stage. A demo class is a trial session offered by an EdTech or coaching business. An application is a filled form or a registration with documents or a token amount. Enrolment is a paid seat.

The tool exists because admissions teams are usually measured on one number, total admissions, at the end of the season. By then it is too late to learn which stage failed. A funnel view during the season shows where students drop off while you can still act. It runs in your browser and uses only the numbers you type.

Why does admission conversion matter for Indian education businesses?

Admission conversion matters because enquiries are bought at a steady price, while seats are filled only at the end of the funnel. Small shifts in conversion change revenue far more than the same shift in lead volume.

Education in India is highly seasonal. Many schools and colleges depend on a fixed window, and coaching and EdTech businesses see surges around results, board exams and batch starts. During peak weeks, enquiries arrive faster than counsellors can handle them. In the default example, 2,000 enquiries a month at ₹6,00,000 of marketing spend cost ₹300 per enquiry. If a team cannot reach those students quickly, the money is gone before a single conversation happens.

The decision is also shared. A parent, a student and sometimes a grandparent all take part. They compare institutions, ask for fee details on WhatsApp and visit more than one campus. This is why counselling quality and follow up speed matter more in education than in many other sales settings. A counsellor who calls once and waits is competing against one who sends a fee structure, a campus visit slot and a reminder.

Drop off is large and mostly invisible. In the default example, 2,000 enquiries produce 118.1 enrolments. That means 1,000 never reach counselling, 650 are counselled but never visit or attend a demo, about 192 visit but do not apply, and about 39 apply but do not enrol. Each of those groups is a list you can work.

How to use the Admissions Funnel Calculator

Use last month's actual figures, or a full admission cycle if your intake is seasonal. Pull counts from your CRM, enquiry register or sheet. Do not estimate from memory, because teams usually overstate counselling.

  1. Enter enquiries per month. Count unique students or parents who asked about a course, from Meta lead ads, Google, Shiksha style portals, Justdial, school website forms, WhatsApp and walk ins. Remove duplicates.
  2. Enter enquiry to counselling. Count enquiries where a real counselling conversation happened, not just a missed call or a brochure sent. If 1,000 of 2,000 were counselled, enter 50%.
  3. Enter counselling to campus visit or demo class. Count students who attended, not those who were invited. Divide attendance by counselled students.
  4. Enter visit or demo to application. Divide applications or registrations by the number of students who attended a visit or demo.
  5. Enter application to enrolment. Divide paid seats by applications. If a token payment counts as enrolment in your institute, use that definition every month.
  6. Enter fee per student and marketing spend. Use the fee you actually collect for the first year or the first batch, in rupees, and the month's total ad and portal spend.
  7. Read the lever table. The tool adds 5 points to each stage separately and ranks them by extra enrolments.

Once you have the result, look at the lever table first. The top lever is where one focused change pays most. Give it a single owner, such as the head of admissions for the counselling step or the campus manager for the visit step. Rerun the calculator at the end of the month using the same definitions. If you also want to know what slow replies cost before counselling, the Lead Response Time Calculator models that gap.

How is the admissions funnel calculated?

The calculator multiplies each stage rate by the number of students who reached that stage. Each output is the input to the next, so a gain early on flows to every later stage.

Counselled = enquiries x enquiry to counselling Visit or demo = counselled x counselling to visit or demo Applications = visit or demo x visit to application Enrolments = applications x application to enrolment Revenue = enrolments x fee per student Overall rate = enrolments / enquiries Cost per enrolment = marketing spend / enrolments

What each input means:

  • Enquiries per month. The top of the funnel, counted once per student.
  • Enquiry to counselling. Mostly a function of how fast and how many times you try to reach the family.
  • Counselling to campus visit or demo. Shows how well counselling creates a reason to take the next step.
  • Visit or demo to application. Shows the quality of the experience and how clearly the next step was explained.
  • Application to enrolment. Shows fee clarity, documentation friction, scholarship decisions and competing offers.
  • Fee per student. Revenue per seat. If fees vary by course, run the tool once per course.
  • Marketing spend. Total paid spend for the month.

The lever analysis keeps everything else fixed, raises one stage rate by 5 percentage points and recalculates enrolments. It is not a forecast. It shows where a given improvement is worth most, and the answer depends on how many students sit at the front of each stage.

Assumptions to keep in mind. The tool assumes all students in a month finish the funnel in that same month, whereas many admissions take several weeks. Benchmarks vary widely by course, city and institute type, so use your own best months as the target.

Worked example: 2,000 enquiries and a ₹60,000 fee

This example uses the default inputs the tool shows on first load. It is an illustration of the arithmetic and not an industry benchmark.

Input Default value
Enquiries per month 2,000
Enquiry to counselling 50%
Counselling to campus visit or demo 35%
Visit or demo to application 45%
Application to enrolment 75%
Fee per student ₹60,000
Marketing spend ₹6,00,000
Stage Students Output
Counselled 1,000 2,000 x 50%
Visit or demo 350 1,000 x 35%
Applications 157.5 350 x 45%
Enrolments 118.1 157.5 x 75%
Revenue ₹70,87,500 118.1 x ₹60,000
Overall conversion 5.9% 118.1 / 2,000
Cost per enrolment ₹5,079 ₹6,00,000 / 118.1

The funnel loses the most students at the second stage. Of 1,000 counselled students, only 350 go on to visit or attend a demo. That is 650 students who spoke to a counsellor and then stopped.

Now the lever analysis, adding 5 percentage points to one stage at a time:

Lever (plus 5 points) Extra enrolments Note
Enquiry to counselling (50% to 55%) +11.8 More students reach a counsellor
Counselling to visit or demo (35% to 40%) +16.9 About ₹10.1 lakh more revenue, the biggest lever
Visit or demo to application (45% to 50%) +13.1 A better campus or demo experience
Application to enrolment (75% to 80%) +7.9 Fewer applicants lost at fee payment

Counselling to visit or demo wins because it acts on 1,000 students and every gain then passes through two more stages. The final stage has the smallest lever because the base is smallest. In rupees, 16.9 extra enrolments at ₹60,000 is about ₹10.1 lakh a month. Your own ranking may differ, and that is the point of running it with your numbers.

How do you read your result?

Read your result from the bottom line upward. Check cost per enrolment and overall conversion first, then find the stage with the largest lever and the largest gap against your own best month.

There is no universal good admission conversion rate. A selective college, an open enrolment coaching centre, a low fee EdTech course and a study abroad consultancy all behave differently. Treat the table below as a reading guide for the default example only.

What you see What it likely means Where to look first
Overall conversion near 5.9% The default example, not a benchmark Your own last three months
Counselling to visit or demo is the top lever Counselling ends without a booked next step Call recordings, booked slots, reminders
Enquiry to counselling is the top lever Students are not being reached Response time, number of attempts, call timing
Application to enrolment is the top lever Fee, documents or scholarship friction Fee clarity, payment options, document list
Cost per enrolment rising, enquiries flat Fewer students finish the funnel Stage drop off, channel mix

Admissions funnel by industry

The five stages apply in education, but the same logic works in other sectors where a prospect has to be counselled, shown the product and signed. Here is how it plays out.

Real estate

The equivalent of counselling is the qualifying call and the demo class is a site visit. A buyer who is counselled on budget, loan and timeline is more likely to attend a visit. Track enquiry to qualified call, qualified call to visit and visit to booking. The Site Visit to Booking Calculator covers the property version in detail.

Education: schools, colleges, EdTech and study abroad

Schools should track enquiry, campus tour, registration and admission, and watch the gap after the tour. Colleges should add a scholarship or entrance test stage. EdTech and coaching teams should measure demo class attendance separately from demo to purchase. Study abroad teams should add profile evaluation and shortlisting before application. Always keep parents in the loop for minors.

Manufacturing and B2B

Counselling becomes requirement gathering. The visit or demo becomes a plant visit, sample or trial, and the application becomes a quotation or purchase order. Cycles are longer and several people decide, so record a dated next step for every account. Fee per student becomes order value.

Healthcare and clinics

Counselling is the patient coordinator's call. The visit is the first consultation. The application is a treatment plan accepted and enrolment is treatment started. Patients drop off when costs are unclear, so share procedure and cost ranges only through approved messages. Handle health information carefully under the DPDP Act.

Automotive

Counselling is the product advisor's call. The visit is the test drive or showroom visit. Application becomes a quotation or booking form and enrolment becomes booking confirmed. Compare enquiry to test drive across sources, and follow up within a day of the drive with a finance option.

Insurance and financial services

Counselling is the needs analysis. The visit or demo is a plan illustration or review meeting. Application is the proposal form and enrolment is policy issued. Dropouts commonly happen at documents and medical checks. A checklist and a dated reminder reduce them. Keep call and consent records.

SMBs and services

Counselling is a discovery call, a demo is a trial or proposal walkthrough, and enrolment is a signed work order or subscription. If the owner runs every demo, protect that calendar and send a WhatsApp recap the same day.

What mistakes do teams make with admissions funnels?

Admissions teams tend to measure outcomes but not the stages that produce them. These are the mistakes that cost the most.

  • Counting a call attempt as counselling. A missed call or a brochure on WhatsApp is not counselling. Count only conversations where the student's need was understood.
  • Treating invited as attended. A booked demo or campus visit is not a completed one. Record attendance separately.
  • Quoting one blended rate for all courses. A short course and a full degree behave differently, so run them separately.
  • Ignoring the parent. For school and college admissions, the parent decides. Counselling only the student leaves out the person who signs the cheque.
  • Letting the fee conversation happen late. Students who learn the fee at application stage often drop. Share the fee structure in the first counselling, in writing.
  • Stopping follow up after two attempts. Education decisions take weeks. A short, polite sequence across call and WhatsApp keeps you in the running. Use the Follow Up Cadence Planner to build one.
  • Judging a campaign on cost per lead alone. A cheap enquiry that never reaches counselling is not cheap.

How can you improve your admission conversion?

Improvement comes from the biggest lever, a named owner and a weekly review. Start with the stage the calculator ranks first, then work down.

Fix counselling to visit or demo

The owner is the head of admissions. Every counselling call should end with a booked date for the visit or demo, not a suggestion. Offer two slots. Send the confirmation on WhatsApp straight after the call with the location or class link. Send a reminder the day before and on the morning. Record the call and review five recordings a week using the Sales Call Scorecard Generator criteria.

Fix enquiry to counselling

The owner is the telecalling lead. Reach new enquiries within minutes during peak admission weeks. Make at least three attempts across two days on different times of day, with a WhatsApp message in between. Route each enquiry to a named counsellor on arrival. Check that numbers are valid and that Meta lead ad forms capture the parent's number.

Fix visit or demo to application

The owner is the campus manager or the demo lead. Brief the faculty or host about the student's interest before the visit. End the session with a clear next step: a form, a deposit or a counsellor call fixed for a specific time. Send the application link the same day.

Fix application to enrolment

The owner is the admissions coordinator. Keep a document checklist, a payment link and a named person for queries. Call applicants with incomplete files every second day. Offer instalment or scholarship information where your policy allows, without quoting numbers you have not approved.

Admissions funnel tracking: spreadsheet, CRM or Erino?

A spreadsheet can run a small intake, a generic CRM adds structure, and a CRM built for high velocity Indian teams adds follow up discipline. The right choice depends on volume, number of counsellors and how many channels feed you.

Sheets work when one person handles a few hundred enquiries. They fail when enquiries come from portals, ads and WhatsApp at the same time and several counsellors share the file. Generic CRMs such as Zoho CRM, HubSpot, Kylas, LeadSquared and TeleCRM offer stages, reports and automation. Features and plans change, so check each vendor's current plans. What matters for admissions is whether every stage has an owner, a next follow up and a record of the counselling conversation.

Need Spreadsheet Generic CRM Erino
Lead owner on arrival Manual Rules you configure Every lead gets an owner on arrival
Counselling stages and next follow up Manual columns Depends on setup Next follow up created at every stage
WhatsApp conversations Separate app Often an add on WhatsApp Business API inbox
Counselling call review None Add on or manual AI analysis of every sales call
Stage conversion view Formulas Reports Dashboards
Setup time Hours Weeks As little as 48 hours

Erino is an AI first sales CRM for high velocity sales teams in India, including EdTech, coaching, schools, colleges and study abroad. It supports customizable pipelines, so you can model enquiry, counselling, demo, application and enrolment as your own stages. See the education and EdTech page and the platform overview. Dhee Coding Lab reached 650+ monthly admissions, up from 40 to 50, and Arivihan saw 22% higher enrolment conversion, as described in the Dhee Coding Lab story and the Arivihan story. Results vary by team. Pricing is quoted after a free 15 minute demo. Security includes DPDP Act alignment and data hosted in India.

Frequently asked questions

What is a good admission conversion rate from enquiry to enrolment?

There is no universal good rate, because it depends on the course, fee, city, season and institute type. The default example in this calculator reaches 5.9% overall, but that is an illustration, not a benchmark. The right target is your own best recent months, tracked by source and course. A rate that improves after a specific change, such as faster counselling calls, is a more useful signal than any outside figure. Benchmarks differ so much between a school, a degree college and an online course that comparing across them rarely helps.

How do you calculate an admissions funnel?

Multiply the number of enquiries by each stage rate in order. With 2,000 enquiries, 50% counselling, 35% visit or demo, 45% application and 75% enrolment, you get 1,000 counselled, 350 visits or demos, 157.5 applications and 118.1 enrolments. Divide enrolments by enquiries to get the overall rate, which is 5.9% here. Divide marketing spend by enrolments to get cost per enrolment, which is ₹5,079 in this example. An admissions funnel calculator does this arithmetic for you and also shows where students drop.

Which stage of the admissions funnel should I fix first?

Fix the stage with the biggest lever, which the calculator finds by adding 5 percentage points to each stage in turn. At the default inputs, counselling to campus visit or demo adds 16.9 enrolments, more than any other stage. Your own numbers may rank differently. Enter them, read the lever table and assign one owner to the top stage for the next four weeks before changing anything else. Changing several stages at once makes it impossible to tell which change worked.

What is counselling conversion in admissions?

Counselling conversion is the share of counselled students or parents who move to the next stage, usually a campus visit, demo class or application. It measures how well a counselling conversation creates a reason to act. Count only real conversations, not missed calls. In this calculator, counselling to campus visit or demo is set at 35%, and it is the stage that often holds the largest improvement, because a counsellor can raise it by asking for a booked slot before ending the call.

How many follow ups does an admissions enquiry need?

It depends on the course and decision time, but one call is rarely enough. A sensible pattern is a quick first call, a WhatsApp message with useful details, a second call the next day and a few spaced reminders over the following two weeks. Respect consent, quiet hours and telecom rules. Track attempts per enquiry so you can see whether students who needed more attempts actually enrolled. Stop contacting anyone who asks you to, and keep a record of that request.

Is cost per enrolment more useful than cost per lead?

Yes, because cost per lead ignores what happens after the enquiry. A cheap enquiry that never reaches counselling still costs money without producing a seat. Cost per enrolment divides total spend by paid seats, so it reflects both lead quality and your conversion process. At the default inputs it is ₹5,079, against ₹300 per enquiry. Use both numbers together, by source and by course. A portal that sends cheap enquiries can still have the highest cost per enrolment, and only the second figure reveals it.

Can I use this calculator for schools, coaching and study abroad?

Yes. Rename the stages to match your process. A school can use enquiry, campus tour, registration and admission. A coaching institute can use enquiry, counselling, demo class and batch joining. A study abroad consultancy can use enquiry, profile evaluation, application and visa file. Keep the definitions fixed from month to month, and run the calculator separately for each course, since fees and decision times differ. A short certificate course and a full degree should never share one blended set of rates.

How do I reduce drop off after counselling?

End each counselling call with a booked next step, not an open invitation. Offer two specific slots, send the confirmation on WhatsApp straight away and remind the family the day before. Share the fee structure in writing during the first counselling so there is no surprise later. Listen to a sample of recorded calls each week to find where counsellors fail to ask for the visit or demo. Coach on those moments first, because they are cheaper to fix than lead generation.
