Free Site Visit to Booking Conversion Calculator
Site visit to booking conversion is the share of enquiries that become bookings after passing through site visit scheduling, visit attendance and the final booking decision. This calculator multiplies each stage rate, then shows bookings, booking value and cost per booking. At default inputs, 1,000 enquiries produce 14.4 bookings worth ₹8.64 crore.

What is site visit to booking conversion?
Site visit to booking conversion is the chain of rates that turns a property enquiry into a signed booking. It runs through four steps: enquiry, visit booked, visit completed and booking. This calculator multiplies those rates so you can see the whole funnel on one screen.
The calculator takes six inputs: enquiries per month, enquiry to site visit booked, visit show up rate, visit to booking, average booking value and marketing spend. It returns visits booked, visits completed, bookings, total booking value, and cost per enquiry, per completed visit and per booking. It also runs a sensitivity test on the show up rate, because that is the rate most teams can move fastest.
Some terms, defined once. An enquiry is any lead who asks about a project, from a Meta lead ad, a 99acres or MagicBricks listing, a Google search ad, a walk in or a referral. A visit booked means a date and time are agreed. A visit completed means the customer reached the site or sales gallery and met someone. Show up rate is visits completed divided by visits booked. A no show is a booked visit that did not happen.
The tool exists because teams usually track enquiries and bookings but not the stages between them. A stage by stage view tells you which one to fix first. It runs in your browser and uses only the numbers you enter.
Why does site visit conversion matter for Indian real estate sales teams?
Site visit conversion matters because the visit is the most expensive and most decisive step in a property sale. By the time a customer is on site, you have paid for the lead, the calls, the pickup and the executive's time. A lost visit wastes all of it.
Indian property buying is a considered, family led decision. A buyer rarely books on a phone call or a brochure. They want to see the project, the sample flat or the plot, and they often bring a spouse or parent. That makes the visit a scheduled event with several people, not a casual drop in. When it falls through, the next slot may be a week away, and by then a competing project may have taken the visit.
Cost is the second reason. Spend on lead ads and portal listings is paid whether or not the lead ever turns up. In the default example, ₹4,00,000 of marketing spend produces 1,000 enquiries, which is ₹400 per enquiry. By the time you divide that spend over only 120 completed visits, each visit has cost ₹3,333. Over 14.4 bookings, each booking has cost ₹27,778. The same spend gives a very different cost per booking if more visits happen.
Third, no shows are rarely measured. A calendar full of scheduled visits looks healthy while 40% of them quietly do not happen. At the default 60% show up rate, 80 of 200 booked visits are lost each month. If every one of those visits had happened at the same 12% booking rate, that would be 9.6 more bookings.
How to use the Site Visit to Booking Calculator
Use the calculator with your last full month of real numbers. Pull the figures from your CRM or sheet, not from memory, and run it once for the whole company and once per project if you can.
- Enter enquiries per month. Count every unique enquiry for the month across Meta lead ads, portals, Google, walk ins and referrals. Remove duplicates, since the same person often appears from two sources.
- Enter enquiry to site visit booked. This is the share of enquiries where a visit date was agreed. If you booked 200 visits from 1,000 enquiries, enter 20%.
- Enter the visit show up rate. Divide visits completed by visits booked. If your sheet only records completed visits, ask the sales desk to log no shows from now on.
- Enter visit to booking. Divide bookings by completed visits, not by booked visits. Mixing these up is the most common error.
- Enter average booking value. Use the average agreement value for the project mix, in rupees. For example, ₹60,00,000 is ₹60 lakh.
- Enter marketing spend. Add ad spend and portal fees for the month. Leave out salaries so the cost figures stay comparable month to month.
- Read the sensitivity row. The tool adds 10 points to your show up rate and shows the extra visits, bookings and booking value.
Once you have the result, find the stage with the weakest rate against your own history, then name its owner. A weak enquiry to visit rate belongs to the telecalling lead, a weak show up rate to whoever sends reminders, and a weak visit to booking rate to the sales head. Run the tool again next month with the same definitions. Compare it with the wider funnel in the Lead Leakage Calculator, which estimates what slow follow up costs you before the visit stage.
How is site visit to booking conversion calculated?
The calculator multiplies stage rates in order. Each stage takes the output of the one before it, so a change early in the chain flows through to bookings.
Visits booked = enquiries x enquiry to visit rate
Visits completed = visits booked x show up rate
Bookings = visits completed x visit to booking rate
Booking value = bookings x average booking value
Cost per enquiry = marketing spend / enquiries
Cost per visit = marketing spend / visits completed
Cost per booking = marketing spend / bookings
Here is what each input means and how the tool treats it.
- Enquiries per month. The top of the funnel. The tool treats every enquiry as one unique person.
- Enquiry to site visit booked. Reflects speed of first response, call quality and the offer you make for a visit.
- Visit show up rate. Reflects reminders, pickup arrangements, timing and how firmly the visit was agreed.
- Visit to booking. Reflects the sales pitch, inventory, pricing flexibility, home loan support and site experience.
- Average booking value. A simple average. If your mix runs from ₹35 lakh to ₹2 crore, run the tool by price band instead.
- Marketing spend. Total paid spend for the month, in rupees.
The sensitivity test is plain arithmetic. It keeps every other input fixed, raises the show up rate by 10 percentage points and recomputes. It is a what if, not a forecast. Benchmarks vary by city, project stage, price band and channel, so the right target is your own best month, not a general figure.
Worked example: 1,000 enquiries and a ₹60 lakh average booking
This example uses the default inputs the tool shows when it first loads. The numbers are an illustration of the arithmetic, not a benchmark for your project.
| Input | Default value |
|---|---|
| Enquiries per month | 1,000 |
| Enquiry to site visit booked | 20% |
| Visit show up rate | 60% |
| Visit to booking | 12% |
| Average booking value | ₹60,00,000 |
| Marketing spend | ₹4,00,000 |
| Output | Result |
|---|---|
| Visits booked | 200 |
| Visits completed | 120 |
| Bookings | 14.4 |
| Booking value | ₹8,64,00,000 (₹8.64 crore) |
| Cost per enquiry | ₹400 |
| Cost per completed visit | ₹3,333 |
| Cost per booking | ₹27,778 |
Walk through it. Of 1,000 enquiries, 20% agree to a visit, so 200 visits are booked. At a 60% show up rate, 120 customers arrive. At a 12% visit to booking rate, 14.4 of them book. At ₹60 lakh each, that is ₹8.64 crore in booking value. The overall enquiry to booking rate is 1.44%, which is 14.4 divided by 1,000.
Now the sensitivity. Raise the show up rate from 60% to 70%, and change nothing else. Completed visits move from 120 to 140. Bookings move from 14.4 to 16.8. That is 2.4 extra bookings and ₹1,44,00,000 (₹1.44 crore) of extra booking value, from the same enquiries and the same ₹4,00,000 spend.
Look at what one point is worth. Each percentage point of show up rate is 2 visits, which is 0.24 bookings, which is ₹14,40,000 of booking value in this example.
How do you read your result?
Read your result by comparing each stage against your own past months, then asking which stage has the biggest gap between your best and your average. The calculator gives numbers, and you supply the judgement.
Start with the three rates. There is no single correct level for enquiry to visit, show up or visit to booking, because they vary with the market, project, source and price band.
Use this table as a reading guide. The ranges are about the default example only, not industry benchmarks.
| What you see | What it usually means | First thing to check |
|---|---|---|
| Show up rate near or below the default 60% | Four in ten booked visits are lost | Reminder timing, pickup, confirmation call |
| Enquiry to visit near 20% with high enquiry volume | Telecalling is converting some but wasting a lot | Response time, call scripts, lead quality by source |
| Visit to booking near 12% with good show up | Sales pitch or inventory is the limit | Executive training, pricing flexibility, loan support |
| Cost per booking rising while enquiries are flat | Fewer visits are happening per rupee | Show up rate and visit slots |
| Cost per enquiry falling but bookings flat | Cheaper leads are weaker | Source level conversion |
Last, read the sensitivity row. If a 10 point rise in show up adds more bookings than any other change you can think of, start there. For the education version of this logic, see the Admissions Funnel Calculator.
Site visit conversion by industry
The mechanics of a visit funnel are the same in many industries: someone must turn up and someone must close. The details differ. Here is how the logic applies in each sector.
Real estate
Treat the visit as a scheduled event. Confirm the date, the person who will meet the customer, the pickup point and the people coming. Send a WhatsApp message with a location pin the evening before and a short reminder two hours before. Separate resale, under construction and plot buyers in your numbers, because their visit and booking rates differ widely.
Education: schools, colleges, EdTech and study abroad
Campus visits, demo classes and counselling sessions are your visits. A school may track campus tour to application. A study abroad counsellor tracks counselling session to file opened. Parents attend with students, so timing around school hours matters. Use the same stage rates, rename the stages and see the Admissions Funnel Calculator for the full version.
Manufacturing and B2B
The equivalent of a site visit is a plant visit, a sample trial or a technical meeting. No shows are rarer but cycles are long, and a visit may involve three people from the buyer. Track visit to quotation and quotation to purchase order. Booking value is replaced by order value. Confirm the attendees, not just the date.
Healthcare and clinics
An appointment is your visit. No shows are expensive because the doctor's slot is empty. Reminders on WhatsApp the day before and on the morning work well, as does a simple reschedule option. Track appointment booked, appointment attended, and treatment started. Keep messages free of medical detail, in line with the DPDP Act.
Automotive
The test drive is your site visit. Track enquiry to test drive booked, test drive done and booking. A walk in to a showroom behaves differently from a lead from a Meta lead ad, so split the two. Send the sales executive's name and a map pin, and keep a car ready at the booked time.
Insurance and financial services
A visit may be a branch meeting, a home meeting or a video call to explain a plan. No shows often come from busy salaried customers, so offer evening and weekend slots. Track enquiry to meeting booked, meeting held and policy or account opened. Document consent for calls and messages carefully.
SMBs and services
A site survey, a trial session, a quote walkthrough or a product demo is your visit. For a small team the owner may be the only closer, so the show up rate is partly about the owner's calendar. Record the demo date in one place and set a reminder for the day before.
What mistakes do teams make with site visit conversion?
Most mistakes come from measuring the wrong thing or fixing the wrong stage. These are the ones that appear most often.
- Counting visits booked as visits done. A booked visit is a hope, not an event. Always record the outcome of each visit: completed, no show, rescheduled.
- Dividing bookings by enquiries only. The overall rate hides which stage is failing. Keep all three stage rates visible.
- Using one blended rate for every source. A portal enquiry, a Meta lead ad lead and a referral differ in intent. Track them separately before you judge a campaign.
- Ignoring the gap between a booked and a confirmed visit. A customer who said "I will try" is not confirmed. Use a clear confirmation message and reply.
- Skipping the follow up after a visit. Customers who visited and did not book need a structured follow up within 24 hours. Many are lost in the quiet days afterwards.
- Blaming the sales executive for what is a lead quality problem. If visits are full of people outside budget, the fix is in qualification, not in the pitch.
How can you improve your site visit to booking conversion?
Improvement comes from fixing the stage with the biggest gap first, then keeping the routine steady. Treat each tactic below as a process with an owner and a date.
Raise the show up rate
The owner is the telecalling lead, supported by the sales desk. A simple routine works:
- Confirm the visit in the same call that books it, and repeat the date, time and pickup point back to the customer.
- Send a WhatsApp confirmation with a location pin straight after the call.
- Send a reminder the evening before and another two to three hours before the visit.
- Call anyone who has not replied by the morning of the visit.
- Offer to reschedule rather than leaving a missed visit unanswered.
- Arrange pickup for customers who ask, and share the driver's name and number.
Timeline: set up the routine this week and measure show up rate for four weeks.
Raise the enquiry to visit rate
The owner is the telecalling lead. Speed matters here, so measure the time from enquiry to first call and set a target. Use the Lead Response Time Calculator to see what slow replies cost. Train callers to ask three qualifying questions before proposing a visit: budget, timeline and who will decide. Offer two specific slots rather than "when are you free".
Raise the visit to booking rate
The owner is the sales head. Before the visit, brief the executive on the customer's budget, family and last conversation. After the visit, send a summary on WhatsApp within an hour, share a home loan eligibility step if relevant, and fix a date for the next conversation before the customer leaves. Review five lost visits each week and note the stated reason.
Site visit conversion tracking: spreadsheet, CRM or Erino?
A spreadsheet works for one project and a small team, a generic CRM adds structure, and a CRM built for high velocity Indian teams adds the follow up automation that actually moves the show up rate. Pick based on how many leads and executives you run.
A spreadsheet is fine at the start. It costs nothing and everyone understands it. It breaks when several people edit it, when leads arrive from five sources, and when nobody is reminded to update the visit outcome. Generic CRMs such as Zoho CRM, HubSpot, Kylas, LeadSquared or TeleCRM give you stages, owners and reports. Each has real strengths, and plans and features change often, so check each vendor's current plans. What matters for visit conversion is whether the system creates the next follow up automatically, sends the reminders on WhatsApp, and records the visit outcome without extra work.
| Need | Spreadsheet | Generic CRM | Erino |
|---|---|---|---|
| Owner assigned on arrival | Manual | Rules you configure | Automatic for every lead |
| Next follow up created at each stage | Manual | Depends on setup | Created at every stage |
| WhatsApp reminders and inbox | Copy and paste | Often an add on | WhatsApp Business API inbox |
| Visit and no show tracking | Extra column | Custom fields | Stage and visit tracking |
| Field visit tracking with GPS | None | Varies by plan | iOS and Android apps with GPS and visit tracking |
| Stuck lead alerts | None | Varies | Real time flags |
| Time to set up | Hours | Weeks | As little as 48 hours |
Erino is an AI first sales CRM for high velocity sales teams in India. It assigns every lead an owner on arrival, creates the next follow up at every stage, analyses every sales call with AI and flags stuck deals in real time. Its field sales apps track GPS and visits, which is useful when executives meet customers at sites. You can see how it works for developers on the real estate page and across the product on the platform page. Ghar Mil Gaya, a real estate team, saw 31% more bookings, described in its success story. Results differ by team, and Erino does not promise a number. Pricing is quoted after a free 15 minute demo.
Frequently asked questions
What is a good site visit to booking conversion rate in real estate?
There is no single good rate, because it depends on your city, project stage, price band and lead source. The default example in this calculator uses 12% of completed visits becoming bookings, but that is an illustration, not a benchmark. The best target is your own strongest recent months. Track the rate separately for portal leads, Meta lead ads and referrals, then compare each with your own history. A rate that rises after you change a process is a better signal than any outside number.
How do you calculate site visit to booking conversion?
Divide bookings by completed site visits, then multiply by 100. For the full funnel, multiply enquiry to visit booked, show up rate and visit to booking in sequence. With 1,000 enquiries, 20% booked, 60% showing up and 12% booking, you get 200 visits booked, 120 completed and 14.4 bookings. That is an overall enquiry to booking rate of 1.44%. Always divide by completed visits, not booked visits, or the rate will look worse than it is.
Why do customers not show up for site visits?
Customers skip visits because the plan was never firmly agreed, a family member could not come, the pickup was unclear, something else came up, or they found another project. A visit booked at the end of a rushed call is the weakest. A clear confirmation, a WhatsApp reminder with a location pin and a way to reschedule all reduce no shows. Ask about the reason every time a visit is missed, and record it in one place.
How can I reduce site visit no shows?
Confirm the date and time twice, once on the call and once in writing on WhatsApp. Send a reminder the evening before and again a few hours before the visit. Share the executive's name, a location pin and pickup details. Call anyone who has not replied on the morning of the visit and offer a new slot if needed. Record every outcome as completed, no show or rescheduled so you can see whether the routine works over four weeks.
Is show up rate or visit to booking rate more important?
Both matter, but show up rate is often faster to improve. It depends on reminders and logistics, which a team can change within a week. Visit to booking depends on pitch, pricing, inventory and customer finances, which take longer. In the default example, a 10 point rise in show up adds 2.4 bookings, worth ₹1.44 crore. Run the calculator with your own numbers and compare the effect of raising each rate by the same amount.
How many site visits should a sales executive handle per day?
It depends on travel time, project distance, visit length and how many customers arrive together. A site with a sales gallery on the premises allows more visits per day than a project where the executive drives customers around. Look at your own calendar, count how many visits an executive can run without rushing, and use that as a cap when scheduling. Overbooking leads to rushed visits and weaker booking rates, so protect the quality of each one.
Should I count a rescheduled visit as a no show?
No. A rescheduled visit is a separate outcome. Treat it as neither a completion nor a no show, and track the new date. If a reschedule is not logged, the visit is either counted twice or disappears from the funnel. Use four outcomes for every booked visit: completed, no show, rescheduled and cancelled. This keeps your show up rate honest and helps you see whether a reschedule eventually turns into a booking.
Can I use this calculator for plots, villas and commercial property?
Yes. The stage logic is the same for apartments, plots, villas, offices and shops. Change the average booking value and the rates to match each product, and run the calculator separately for each, since a plot buyer and an apartment buyer behave differently. If you sell both in one project, do not blend them into one average. Use your own data from the last full month, and rerun the tool quarterly.
