Free Sales Call Analyser for Call Transcripts
A sales call analyser reads a call transcript and measures how the conversation went. It checks the talk to listen ratio, questions asked, objections raised, buying signals, whether a dated next step was agreed, and which actions follow. This one uses transparent rules, not generative AI, so every score can be traced to the words.

What is a sales call analyser?
A sales call analyser reads a call transcript and turns it into measurable signals. Instead of replaying a twenty minute recording, you get the talk to listen ratio, the number of questions your rep asked, the objections the customer raised, any buying signals, and whether the call ended with a clear next step.
The Sales Call Analyser on this page does this in your browser. You paste a transcript, with speaker labels such as "Agent:" and "Customer:" if you have them, or you type your own notes. The tool then highlights the transcript, writes a short summary, lists action items and suggests coaching tips.
Be clear about what it is. It uses transparent, rule based checks: counting words by speaker, matching phrases such as "too expensive" or "send details", and looking for dates and times. It is not generative AI, and it does not understand tone or intent the way a human listener does. That is a strength for coaching, because you can see exactly which words triggered each result.
Terms used on this page:
- Talk to listen ratio is the share of words spoken by the agent against the customer.
- Objection is a reason the customer gives for not moving forward, such as price or timing.
- Buying signal is a phrase that suggests the customer is moving toward a decision.
- Next step is a specific action with a date or time that both sides agreed.
Why does sales call analysis matter for Indian sales teams?
Sales call analysis matters because most selling in India happens on the phone, and most managers hear only a few calls. A telecalling team of fifteen can make hundreds of calls a day. Nobody can listen to them all, so coaching depends on reports from reps themselves, which are always flattering.
Calls here carry a lot of weight. Leads from Meta lead ads, Google ads, Justdial, Shiksha and property portals expect a quick call. Many buyers then continue on WhatsApp, which means the call has to set up the next message. A call that ends with "I will think about it" and no date almost never turns into a follow up.
Language adds a layer. Calls often switch between English, Hindi and a regional language in the same sentence. Hinglish is normal. Rule based checks work on the words in the transcript, so the quality of the transcript matters. If your transcription tool handles mixed language poorly, correct the text first.
There is also a compliance angle. Calls are personal data under the DPDP Act, so tell customers when calls are recorded, store transcripts securely and limit who can read them. Take legal advice on recording consent for your own case.
Used well, call analysis shows habits. A rep who always talks for most of the call, rarely asks questions and never fixes a date has a pattern that can be coached. The Sales Call Scorecard Generator helps you turn those patterns into a repeatable review form.
How to use the Sales Call Analyser
- Get a transcript. Use a transcript from your call recorder or dialer, or type notes from memory right after the call. Notes are less precise, but they still show structure.
- Add speaker labels if you can. Start lines with "Agent:" and "Customer:". The talk ratio and question counts depend on knowing who said what.
- Paste it into the tool. A real estate call transcript loads by default, so you can see a full result before using your own.
- Run the analysis. The score tiles show talk share, questions, objections, buying signals and next step status.
- Read the highlighted transcript. Objections, buying signals, questions, fillers and action sentences are marked in the text, so you can find the exact moments.
- Check the summary and action items. The summary picks key sentences. The action list pulls sentences with phrases like "I will", "send" or "call you back".
- Apply the coaching tips. Pick one tip, not five, and agree it with the rep.
Do not stop at the score. Play the recording at the marked moments. A rule based tool can tell you that an objection occurred and where. It cannot tell you whether the rep handled it well. That judgement is yours, and the coaching conversation is where the value comes from.
How does the Sales Call Analyser work?
The analyser applies a fixed set of text rules to the transcript and reports counts and shares. Nothing is guessed from tone, and no model rewrites your words. The same transcript always gives the same result.
Agent talk share = agent words / (agent words + customer words)
Agent questions = agent sentences ending in a question mark or starting with a question word
Objections = matches of phrases such as price, budget, think about it, call later, competitor, not interested
Buying signals = matches of phrases such as when can, how soon, send details, next step, book, visit, demo
Next step agreed = a next step phrase together with a date or time reference
What each check means:
- Talk ratio. Words are counted by speaker label. Without labels, this check cannot work properly.
- Questions asked by the agent. A rough measure of discovery effort. It counts questions, not their quality.
- Objection phrases. Price, budget, "think about it", "call later", competitor mentions and "not interested".
- Buying signals. Phrases such as "when can", "how soon", "send details", "next step", "book", "visit" and "demo".
- Next step with a date or time. The analyser looks for an agreed action tied to a day or time.
- Filler words. Counts of words like "um" and "basically", which suggest hesitation.
- Positive and negative words. Simple counts that give a rough tone indicator.
- Key sentences. Sentences that contain the most signal words form the summary.
- Action items. Sentences containing "I will", "send", "share" or "call you back".
Limits to keep in mind:
- It matches phrases, so sarcasm, polite refusals and indirect language can be missed. "We will let you know" is not on the list, yet it often means no.
- Phrases in other languages may not match unless the transcript is in English or Hinglish written in Roman script.
- Counts are only as good as the transcript. Missing or swapped speaker labels distort the ratio.
- The tool runs in your browser. Erino's AI call intelligence goes deeper on every recorded call.
Worked example: a real estate call
The tool loads a sample real estate call transcript. The results below are illustrative, because the exact figures shown depend on the sample text. Treat them as approximate.
| Measure | Sample result (illustrative) |
|---|---|
| Agent talk share | About 45% |
| Customer talk share | About 55% |
| Questions asked by the agent | About 6 |
| Objections found | 2 (price, "need to think") |
| Buying signals | 3 |
| Next step agreed | Yes |
How to read this. An agent talk share of about 45% means the customer spoke slightly more than the agent. For example, in a call of 1,000 words, the agent spoke around 450 and the customer around 550. That suits a discovery call, where the aim is to learn what the buyer needs. It is an assumption for this illustration, not a rule that every call must be below 50%.
Six questions in one call is a reasonable sign of active discovery. The count does not tell you which questions were asked, so check the transcript for budget, family decision makers, loan plans and timeline.
Two objections appeared: price and "need to think". Both are normal in property sales. The first is a conversation about value and options. The second often hides a real concern that has not been said out loud. The best reaction is a gentle question such as "what would you want to compare before deciding?".
Three buying signals suggest genuine interest. When a customer asks "when can we visit", they are already imagining the next step.
Most important, a next step was agreed. That is what separates a useful call from a pleasant chat. The final check is to see whether it has a date and a time, and whether the agent logged it. If both are true, the call is in good shape.
How do you read your sales call analysis result?
Read your result as a set of prompts, not as a grade. Each score tile points to a question to ask about the call, and no single number decides whether the call was good.
There are no official bands for these measures, and benchmarks vary by industry, call type and customer. The sample is a reference point. Compare calls from the same rep and the same stage over time.
| Signal | What high can mean | What low can mean | What to check |
|---|---|---|---|
| Agent talk share | Pitching too early, or a negotiation call | Customer is engaged, or agent is passive | Did the agent ask before explaining? |
| Agent questions | Active discovery | Interrogation if too many, or weak discovery if too few | Were they open questions? |
| Objections | Customer is engaged and honest | Smooth call, or objections went unspoken | Was each objection answered? |
| Buying signals | Customer ready to move | Early stage or lukewarm | Did the agent act on the signal? |
| Next step with date | Call has momentum | Risk of drift | Is it logged in the CRM? |
Some patterns repay attention:
- Many buying signals and no next step. The rep missed the moment. Coach on closing.
- Many objections and no buying signals. The pitch may not fit. Coach on discovery.
- Agent talk share well above 60%. The rep may be reciting a script. Compare with the customer's responses.
- Filler words clustered at the price discussion. The rep is unsure about pricing. Practise that section.
- Negative words from the customer rising late in the call. Look at what happened just before.
Read the highlighted transcript before accepting any score. A phrase like "send details" can be a buying signal or a polite brush off, and only context settles it. Pair the result with a lead score from the Lead Scoring Calculator to decide how much effort the lead deserves.
Sales call analysis by industry
Different industries need different things from a call. The checks stay the same, but what you look for in the transcript changes.
Real estate
Look for budget, who else decides, loan plans and a site visit date. The strongest call ends with a booked visit and a promised WhatsApp message with the brochure or location. Price objections are expected, so check that the rep tied price to the buyer's needs. Flag calls where the buyer is asked nothing about family, loan eligibility or timeline, because those calls rarely convert into visits.
Education (schools, colleges, EdTech, study abroad)
The decision is shared between student and parent, so check whether the agent spoke to both. Listen for fee and loan concerns, scholarship questions and "we will discuss at home". Good calls end with a counselling slot, demo class or campus visit. For study abroad, note whether country, intake, budget and test scores were captured, and whether the counsellor explained the next application deadline.
Manufacturing and B2B
Calls are technical and longer, so a customer talk share well above half is healthy. Look for specifications, quantities, delivery dates and competitor mentions. A request to send a quote is a buying signal only if the agent confirmed the required details. End with who will review the quote, who else must approve it and when you will call back.
Healthcare and clinics
Calls need a calm, respectful tone. Check that the agent asked about the concern briefly, explained the consultation process and offered an appointment slot. Avoid medical advice by phone, and keep patient details out of the notes you paste. The key outcome is a booked appointment with a date, time and reminder, plus a note of any language preference.
Automotive
Look for model, variant, budget, finance and exchange questions. Buying signals include asking for a test drive, on road quote or delivery time. Price objections often involve discounts and competing dealers, so check how the agent responded to competitor mentions. The best next step is a test drive booking, not just a brochure, with the exchange valuation scheduled alongside it.
Insurance and financial services
Check that the agent asked about dependants, existing cover, income stability and goals before recommending a product. Listen for clear, honest explanations, since the risk of selling the wrong product is real and regulators care about it. Objections often concern premium and trust. A good next step is a dated documents or proposal discussion, with the list of required papers sent on WhatsApp the same day.
SMBs and services
Calls are short and informal. Look for a clear problem statement, the decision maker, budget range and timeline. Customers often say "send me details", which can mean interest or a polite exit. Ask the rep to book a short follow up call or WhatsApp message with a specific day, and to note who signs off on spending.
What mistakes do teams make with sales call analysis?
Most mistakes come from reading too much into a few numbers or ignoring the human part of coaching. Avoid these:
- Chasing one ideal talk ratio. There is no universal target. A discovery call and a negotiation call look different.
- Counting questions, not quality. Six closed questions are weaker than three good open ones.
- Treating objections as failure. A customer who raises objections is engaged. Silence is worse.
- Missing unlabelled speakers. Without labels, the talk ratio is unreliable. Fix the transcript first.
- Coaching on five things at once. Pick one behaviour per review and measure it next week.
- Reviewing only bad calls. Study good calls too, so you can copy what works.
- Skipping the next step check. A call without a dated next step often goes cold. Make it a standard question.
- Storing transcripts carelessly. Calls contain personal data. Control access and follow the DPDP Act.
How can you improve your sales call analysis result?
You improve the result by changing the habits the analyser reveals: how much the rep talks, what the rep asks, how objections are met and how the call ends. Work on one habit at a time and check again after a week.
Improve discovery (owner: team leads, 2 weeks)
- Write 5 standard discovery questions for each stage and keep them visible to the rep.
- Ask the rep to pause for two seconds after each question.
- Aim to have the customer speak more than the rep on first calls, and review what the customer said.
Handle objections (owner: sales trainer, 30 days)
- Collect the 5 most common objections from your own call transcripts.
- Write one calm reply for each, in English and Hinglish where relevant.
- Role play them once a week for ten minutes.
- Use the Telecalling Script Generator for ready objection replies.
Close with a dated next step (owner: each rep, daily)
- Before ending the call, say the next step out loud.
- Confirm the day, the time and the channel.
- Log it in the CRM within five minutes.
- Send a WhatsApp message that repeats the commitment.
For that last message, the WhatsApp Sales Follow Up Message Generator gives wording options, and the Follow Up Cadence Planner shows how to space the touches. Note that business initiated WhatsApp messages need approved templates on the WhatsApp Business API outside the 24 hour customer service window, and you need opt in consent.
Build a review routine (owner: sales head, weekly)
- Review 3 calls per rep each week: one best, one average, one concerning.
- Keep a simple log of the habit you coached and the result next week.
- Share one good call clip with the whole team every Friday.
Sales call analysis: spreadsheet, CRM or Erino?
You can analyse sales calls by listening and scoring in a spreadsheet, by using call features in a generic CRM, or by using Erino's AI. The difference is coverage. Manual review covers a handful of calls. Rule based tools cover whatever you paste. Erino analyses every call.
A spreadsheet works for early teams. A manager listens, fills a scorecard and keeps notes. It is rich in judgement but slow, so it rarely covers more than a few calls per rep per week.
LeadSquared, Zoho CRM, Kylas, TeleCRM and HubSpot offer call logging, recording or telephony integrations in various forms. Whether they offer transcript analysis or AI call insights depends on the product and plan, so check each vendor's current plans.
| Approach | Calls covered | Depth | Effort |
|---|---|---|---|
| Manager listens, scores in a sheet | A few per rep per week | High, human judgement | High |
| This free tool | Calls you paste one at a time | Transparent rule checks | Low, but manual |
| Generic CRM | Depends on plan and telephony setup | Varies by vendor | Medium |
| Erino | Every sales call | AI call analysis, linked to the lead | Low once live |
Erino analyses every sales call with AI and links the result to the lead, along with the owner, stage and next follow up. It also logs conversations from its WhatsApp Business API inbox, so the call and the chat sit in one record. Most teams go live in as little as 48 hours. Read the Erino platform page for the full capability list. Industry pages cover EdTech, healthcare and automotive teams, and the small and medium business page covers smaller teams.
Erino is DPDP Act aligned, with data hosted in India, encryption in transit and at rest, role based access and audit trails. Those points matter when calls contain personal data. Pricing is quoted after a free 15 minute demo.
Frequently asked questions
What is a sales call analyser?
A sales call analyser is a tool that reads a call transcript and measures how the conversation went. It typically checks the talk to listen ratio, questions asked, objections, buying signals, whether a next step was agreed and which actions followed. The free tool on this page uses transparent rules rather than generative AI, so each result can be traced back to specific words in your transcript, and you can explain it to the rep.
How do I analyse a sales call transcript?
Start by labelling each line with the speaker, then count how much each side spoke and how many questions the agent asked. Mark objections such as price or timing, mark buying signals such as asking about a visit, and check whether a dated next step was agreed. Finally, list the actions promised by both sides. The free tool does all of this automatically from pasted text in a few seconds, with the matches highlighted.
What is a good talk to listen ratio in sales?
There is no single right number, because it depends on the call type. Discovery calls usually work better when the customer speaks about as much as, or more than, the agent. Pitch and negotiation calls may need the agent to speak more. The sample in this tool shows an agent share of about 45%, which is illustrative. Compare calls by the same rep and stage over time, and judge the pattern, not one call.
What are common sales call objections?
Common objections in Indian sales calls are price or budget, needing time to think, wanting to discuss with family or a partner, comparing a competitor, and asking to be called later. Some customers also say they are not interested when they are really unsure. The analyser matches phrases for these, so you can see how often they appear, at what point in the call, and whether the rep responded well.
Is this sales call analyser using AI?
No. The free tool uses transparent, rule based checks, such as counting words by speaker and matching phrases, and it does not use generative AI. That makes results consistent and easy to explain, but it cannot understand tone or context the way a person can. Erino's AI call intelligence goes deeper and analyses every recorded call, not just the text you paste, which lets managers coach on the whole picture.
Is it safe to paste a call transcript here?
The tool runs in your browser, so the transcript is processed on your own device. Even so, remove details you do not need, such as full phone numbers, addresses and health information. Calls often contain personal data, so handle transcripts in line with the DPDP Act, limit who can access them and tell customers when calls are recorded. Seek legal advice on consent for your own case, since rules on recording differ by situation.
What is a buying signal in a sales call?
A buying signal is something the customer says that suggests they are moving toward a decision. Examples include asking when they can visit, how soon delivery is possible, whether you can send details, what the next step is, or how to book a demo. A signal is not a commitment, so respond by confirming a specific next step with a date and time, and by logging it straight after the call.
Can a CRM analyse sales calls automatically?
Some can, but features vary by product and plan. Many CRMs log calls and store recordings, while transcript analysis and AI coaching are less common or may need add ons. Erino analyses every sales call with AI and links the findings to the lead record. For other tools such as LeadSquared, Zoho CRM, Kylas, TeleCRM or HubSpot, check each vendor's current plans before assuming a feature is included in your plan.
